Receptionist / Administrative Assistant

We are currently seeking a Receptionist / Administrative Assistant to work out of our London office.

    • Responsible for the efficient and professional operation of the front reception desk;
    • Answer all telephone inquiries on computer-aided phone system, determine the appropriate internal contact and route calls accordingly;
    • Greet all visitors, sign-in and notify internal contact of visitors according to MTE procedures;
    • Process and sort incoming mail for internal or interoffice delivery and complete mail runs as required; prepare and process outgoing mail;
    • Coordinate and process couriers and shipments;
    • Assist with meeting logistics such as booking boardrooms and ordering food;
    • Perform light kitchen duties and other related duties as assigned;
    • Update company listings and directories as required;
    • Conduct inventory checks, purchase and maintain general office supplies;
    • Maintain project records including documentation filing and drawing filing;
    • Production and compilation of reports, tenders, proposals and drawings as required;
    • Provide administrative support to staff and Divisional Administrative Assistants including formatting, proofreading, printing, copying and compiling of various reports, proposals, letters, drawings and other related documents;
    • Ensure all documentation meets client specifications, project requirements and MTE standards, for a variety of projects;
    • Provide back-up coverage for Divisional Administrative Assistant staff absences as required; and
    • Other related duties, as assigned
    • 2-year Post Secondary Diploma in Administrative Program or related field (Preferred);
    • Minimum 1-3 years of experience;
    • Familiar with consulting engineer/ survey/ environmental work;
    • Strong written and verbal communication and comprehension skills;
    • Proficient with MS Office including Outlook, Word and Excel;
    • Ability to organize, multi-task and meet deadlines;
    • Strong customer service orientation; and
    • Familiarity with general office equipment including phone systems, photocopiers, binding machines, etc.
