The Manager of Administrative Services will report to the Vice President, Corporate, and is responsible for overseeing the implementation and maintenance of corporate administrative standards across all regional offices for all outgoing correspondence including memos, reports, transmittals and internal forms and templates, including the Corporate Administrative Standards Manual. In addition, this role is also responsible for overseeing the front office reception and Client Relations Representatives and for ensuring proper administrative services coverage is maintained during Administrative Assistant absences.
The Manager, Administrative Services provides technical leadership and support to the Administrative Working Group (AWG); supports the Technical Practice Leaders in all service lines to maintain standards; and provides support to IT on software and hardware relating to Administrative Assistants and Client Relations Representatives. The successful candidate will endeavor to remain current on administrative best practices which may include membership in a professional organization such as IAAP.
The Manager, Administrative Services works with the Vice President, Corporate to implement changes and decisions related to administration. They will provide technical assistance and information to the senior management team to facilitate decision making and help facilitate communication between all service lines to promote consistency of standards.
Responsibility

- Ensure implementation and maintenance of corporate administrative standards and procedures company wide;
- Manage Client Relations Representatives and front Reception;
- Manage out of office calendar for all Administrative Assistants to ensure proper coverage during a planned or unplanned absence;
- Perform regular quality control checks for each service line to ensure compliance with corporate administrative standards;
- Ensure introductory training for all new staff, focusing on corporate administrative standards; and organize relevant training for all existing Administrative Assistants;
- Provide vision and direction to the AWG, attend and participate in regularly scheduled meetings; and
- Provide an open channel for ongoing communication with the Administrative team members, staff and managers.
Requirements

- 2-year Post Secondary Diploma in Administration or a related field;
- Minimum of 10 years of work experience;
- Strong written and verbal communication skills;
- Proficient in MSOffice, i.e. Outlook, Word and Excel, as well as Adobe and other position specific software;
- Accuracy, attention to detail and proofing for quality control;
- Understanding of company policies and procedures;
- Customer service orientation; and
- Travel to regional offices will be required.
