Engineering Administrative Assistant

We are seeking an experienced and energetic technical administrative professional to join us in our Stratford office in the role of Engineering Administrative Assistant.  This position requires a high level of organization and confidentiality, sound judgment, excellent interpersonal skills, and the ability to thrive in a fast paced team environment.

    • Provide administrative support including formatting, proofreading, printing, copying and compiling of various reports, proposals, letters, drawings, spreadsheets and other related documents, ensuring all documentation meets client specifications, project requirements and MTE standards, for a variety of engineering projects;
    • Support project managers with administrative workflow over project lifecycle (project openings, documentation, deliverables, filing, archiving, project closures, etc.);
    • Assist project managers with project coordination tasks, including administering project schedules, tracking project workflow and preparing invoices, etc.;
    • Work with project managers in organizing external and internal project meetings, and prepare and distributing meeting agenda and detailed minutes;
    • Coordinate and schedule divisional meetings, prepare agenda and detailed minutes;
    • Ensures proper management of project files, adhering to correct naming conventions and record keeping procedures;
    • Coordinate travel arrangements for staff, as required;
    • Collaborate with project managers and accounting team to ensure accurate and timely billing to clients;
    • Liaise with internal and external contacts to resolve billing issues and expedite payment;
    • Attend administrative working group meetings and work closely with other members of the administrative team;
    • Coordinate orientation schedules and perform administrative orientations for new staff;
    • Provide back-up reception coverage for vacation, illness and lunch times, as required;
    • Assist with completing general housekeeping tasks (e.g. maintaining coffee machine, stocking kitchen, organizing office areas, etc.); and
    • Other related duties as assigned.
    • Post-Secondary education in Office Administration, Business Administration or a related field;
    • Experience working in an administrative assistant capacity within an engineering or science related environment is preferred;
    • Strong interpersonal skills involving an ability to problem solve and resolve conflict in varied interactions with external clients and internal staff;
    • Ability to exercise tact and discretion in dealing with confidential issues;
    • Positive attitude;
    • Ability to take initiative and to multi-task in a fast paced environment characterized by changing priorities while attending to details;
    • Strong written and verbal communication and comprehension skills;
    • Organizational and time management skills;
    • Accuracy and attention to detail;
    • Familiarity with general office equipment including multi-line phone systems, photocopiers, binding machines, etc.; and
    • Advanced computer skills including Microsoft Office applications (Word, PowerPoint, Excel and Outlook) and ability to learn new computer programs or software.
