Administrative Assistant, Technical Practice

We are currently looking for an Administrative Assistant to provide support to our Technical Practice group in Kitchener. This team is focused on project delivery, quality assurance, staff development and professionalism, with the ultimate goal of building capacity across the service lines and regional offices of MTE.

This position will play a key role in providing administrative support to the Technical Practice Directors and the Technical Practice group, requiring a high level of confidentiality, sound judgment, diplomacy, and understanding of the organization’s strategic priorities and the ability to thrive in a fast paced team environment.

    • Provide administrative support including formatting, proofreading, printing, copying and compiling of various reports, letters, drawings, and other related documents, ensuring all documentation meets proper specifications, project requirements and MTE standards;
    • Coordinate and schedule technical practice group meetings, preparing meeting agendas, taking detailed meeting minutes, distributing minutes and preparing presentations;
    • Preparation of various reports and spreadsheets, as required by the technical practice group;
    • Manage calendars and schedule meetings for Technical Practice Directors (technical and project related items), having a clear understanding of what is time sensitive and taking proactive and anticipatory actions within broad guidelines outlined;
    • Assist with management of email communication both internally and externally, including items of sensitive and/or confidential material for Technical Directors;
    • Strategize and provide assistance in moving initiatives forward;
    • Assisting in developing Quality Operating Policies and Procedures; and
    • Other related duties as assigned.
    • Degree or Diploma in a Business Administration or Executive Assistant related program
    • Minimum 10 years’ experience in administration;
    • Experience working within an engineering or related field;
    • Ability to exercise tact and discretion in dealing with confidential information;
    • Ability to take initiative and to multi-task in a fast paced environment characterized by changing priorities while attending to details with a high level of accuracy;
    • Sound decision making ability;
    • Strong written and verbal communication and comprehension skills;
    • Organizational and excellent time management skills; and
    • Advanced computer skills including Microsoft Office applications (Word, PowerPoint, Excel and Outlook) and ability to learn new computer programs or software.
